Important: Participants registered as Listeners or Accompanying Persons are not eligible to present oral or poster papers.

Refund & Cancellation Policy

Please submit all cancellation or transfer requests in writing to the Conference Secretariat by email.

  • Full refund (minus USD 100 admin fee) for cancellations received more than 90 days before the conference start date.
  • No refund for cancellations received within 90 days of the conference start date. Instead, registrations may be transferred to a future edition subject to the rules below.
  • Registration transfers are accepted until 23 March 2026. Transfer requests received after this date will not be processed.
  • Approved refunds will be processed within two weeks after the conference concludes.

Force Majeure / Exceptional Circumstances: If the event is postponed, rescheduled or cancelled due to circumstances beyond the organiser’s control (for example natural disaster, government restrictions, pandemic, civil unrest, national emergency, cyber-attack, or other force majeure events), all registration and accommodation fees will be transferred to the rescheduled event or a future edition; refunds will not be provided under these circumstances.
